QloApps Online Check-in - QloApps Online Check-in is an add-on that simplifies the guest’s arrival process by allowing them to check in online before arriving at the hotel. With technological advancements, hotels were gradually adopting online check-in, but Covid-19 made it essential.
This module allows admins to create identity fields where they can list the required documents and other details they need from guests. The guest must fill in the required information to complete the online check-in.
As a result, guests can check in online before their arrival instead of filling out the guest form at the front desk. It not only increases staff productivity but also shows your hotel’s commitment to guests’ safety.
QloApps Online Check-in Features -
- Admin can create a list of all the details they require from guests for online check-in.
- Send one or multiple emails to guests about their upcoming bookings.
- Emails are sent to guests about status updates of the online check-in application.
- Admin can approve or disapprove the guest’s application request from the backend.
- Admin can check the details of the room, duration of stay, order ID, and hotel name booked by the guest.
- Admin can upload and manage guest documents.
- Admin can also check guest details.
- Admin can view the list of online check-in applications.
Configuration of QloApps Online Check-in
Under the general configuration, you have the following options:
- Eligibility criteria: Select the guests who are eligible for online check-in.
- Guest notification days: Enter the days after which you want to send notifications to guests regarding their booking updates.
- Send online check-in email to: Select recipients of the online check-in email between “Customer”, “Traveller” or “Both”.
- Repeated emails: Enable to send repeated emails to guests.
Moreover, there is a CRON job configuration that uses the link to send automatic emails to guests.
Online Check-in Form Fields
Admin has to go to the ‘Orders’ tab and select the ‘Online check-in form field’ to view the list of fields created that are necessary for the online check-in of guests.
On the top right-hand side, there is an option to ‘Add new field’. Click on it to add a new field.
These fields are used to gather guest details needed for successful check-in.
Online Check-in Applications
Admin can go to the ‘Orders’ tab and select ‘Online check-in Application’ to view the list of online check-in applications submitted by guests.
Under this, the admin can view room type, hotel name, duration of stay, application status, and check-in details. After reviewing, the admin can approve or disapprove the application.
Managing Guest Documents
When guests complete the online check-in form, they can upload documents (PDF or image) related to their booking. These documents will be automatically attached to the room’s order details and status.
Admins can find the documents uploaded by the guest under the "Orders" tab > "Orders" option > click "View" on the order > scroll down to "Room Status" and click "Documents".
Frontend Experience
After creating an order, the guest will receive an email containing a link to apply for online check-in. They can then fill out the required information for check-in through that link.
