QloApps Online Check-in - is an add-on that streamlines the guest arrival process by allowing guests to complete their check-in online before reaching the hotel. With evolving technology, online check-in has become an essential feature for modern hotels
This module enables admins to create custom identity fields to collect required documents and important guest details. Guests must fill in all the necessary information to successfully complete the online check-in process.
By allowing guests to check in online prior to arrival, hotels can reduce front desk workload and eliminate manual form filling. This improves staff productivity and demonstrates the hotel’s commitment to a smooth, efficient, and secure guest experience.

Admin can create and manage a list of required details and identity fields that guests must fill in for online check-in.
Automated Guest Email Notifications
Send one or multiple automated emails to guests regarding their upcoming bookings and online check-in process.

Admin can send the online check-in email to a specific eligible guest directly from the order details page.

Admin can manually fill in and manage guest check-in details directly from the order details page.
Configuration of QloApps Online Check-in
Under the general configuration, you have the following options:
- Eligibility criteria: Select the guests who are eligible for online check-in.
- Guest notification days: Enter the days after which you want to send notifications to guests regarding their booking updates.
- Send online check-in email to: Select recipients of the online check-in email between “Customer”, “Traveller” or “Both”.
- Repeated emails: Enable to send repeated emails to guests.
Moreover, there is a CRON job configuration that uses the link to send automatic emails to guests.

Online Check-in Form Fields
Admin has to go to the ‘Orders’ tab and select the ‘Online check-in form field’ to view the list of fields created that are necessary for the online check-in of guests.
On the top right-hand side, there is an option to ‘Add new field’. Click on it to add a new field.
These fields are used to gather guest details needed for successful check-in.

Online Check-in Applications
Admin can go to the ‘Orders’ tab and select ‘Online check-in Application’ to view the list of online check-in applications submitted by guests.
Under this, the admin can view room type, hotel name, duration of stay, application status, and check-in details. After reviewing, the admin can approve or disapprove the application.

Managing Guest Documents
When guests complete the online check-in form, they can upload documents (PDF or image) related to their booking. These documents will be automatically attached to the room’s order details and status.
Admins can find the documents uploaded by the guest under the "Orders" tab > "Orders" option > click "View" on the order > scroll down to "Room Status" and click "Documents".

Frontend Experience
After creating an order, the guest will receive an email containing a link to apply for online check-in. They can then fill out the required information for check-in through that link.
