 Module Configuration:

After the module installation, the admin can do configuration for procurement and emails. The admin can provide content for various emails for the suppliers. The following options are available:

  • Set Procurement Method - Make to Stock/ Order.
  • Enter Default Prefix for quotation number.
  • Default padding number for quotation /purchase order number.
  • Set Email Subject for quotations and purchase Orders.
  • Set Email Content for quotations and purchase Orders.
  • Set Email Footer for quotations and purchase Orders.
Module Configuration

 Add Suppliers & Cost Price:

The admin first needs to add the suppliers' information in the store backend. After that, it can go to product settings and select & add suppliers for a product. The following options are available:

  • Choose multiple suppliers for a product.
  • Enter supplier minimal quantity, lead time, priority.
  • Set supplier status as Enabled/ Disabled.
  • Add multiple quantities with cost prices.
  • Mention product cost price in products.
  • Select the procurement method each product.

 Manage Quotations:

If the procurement method is selected as Make to Order, whenever a product goes out of stock, a draft quotation will be prepared. The admin can view the quotation order information and then confirm it.

  • Automatic quotation preparation.
  • View, update or delete Items ordered.
  • Send quotation email to suppliers.
  • Cancel, confirm, edit, merge, delete, print quotations.
  • Add and view comments in the quotations.
  • Notify suppliers by the emails.

 Manage Purchase Orders:

When the admin confirms the quotation, it will convert to Purchase Order. The admin can create a manual purchase order by first selecting a supplier and then adding the products. The following options are available:

  • Select available suppliers and add products to order.
  • Enter source document name in the purchase order.
  • Print or cancel the purchase order.
  • Send the purchase order to the supplier by email.
  • Add and view comments in the purchase order.
  • Notify supplier by the email.
  • View purchase order status - done/confirm.
  • View order date and supplier information.

 Incoming Shipments:

An incoming shipment is created for every new purchase order created. The admin can view the incoming shipment ID with the ordered items information.

  • Add and view comments in the incoming shipment.
  • Notify suppliers by email.
  • Receive partial shipments and update quantity.
  • View items ordered details -name, sku, and quantity.
  • View scheduled date and time for incoming shipment.
