QloApps Booking iCalendar (.ics) File Export

The QloApps Booking iCalendar module provides a dedicated Channels screen to manage booking channels used for calendar synchronization.

Booking.com, Expedia, VRBO, and Airbnb are available upon installation, and staff can add additional channels as required.

• Channel Name: Identify the booking channel used for calendar synchronization.
• Active Status: Enable or disable a channel. Inactive channels are skipped during calendar imports.
• Import Window: Set the number of days ahead for importing calendar events.
• Channel Event Rules: Decide which imported event types create room blocks and whether the event end date should also be blocked.

These settings help administrators control how calendar events are imported and how room availability is managed across channels.

The Configuration screen allows administrators to manage export settings, email recipients, and scheduled calendar synchronization from a centralized interface.

Export Settings

• Export Events: Choose whether to export bookings, manually disabled dates, or both.
• Order Sources: Select which order sources should be considered when exporting confirmed bookings.
• Export Offset: Configure how many days ahead calendar events should be exported. The default value is 365 days.

Email Recipients

Enable the option to attach the booking iCalendar (.ics) file to order confirmation emails sent to customers, the super admin, hoteliers, and employees.

Cron Job Configuration

View the cron command used to import calendar feeds from all active channels and automatically refresh room availability.

These configuration options help streamline calendar management and automate availability synchronization.

Each room type in QloApps includes a dedicated iCal Sync tab that allows administrators to export room availability and import calendar events from external channels.

Export iCalendar

• Secure iCalendar URL: Access the unique calendar feed URL generated for each room type.
• Download iCal: Download the room type's calendar file in .ics format.
• Copy URL: Copy the calendar URL and share it with supported external booking channels.

Import iCalendar

• Select Channel: Choose the booking channel from which calendar events should be imported.
• Calendar URL: Enter the external channel's calendar feed URL and save the configuration.
• Sync Status: View the status of the last synchronization for each configured calendar feed.
• Multiple Channel Support: Link multiple channel calendars to a single room type.
• Room Count: View the number of rooms covered by the synchronization.

This functionality helps administrators manage room availability using calendar feeds from multiple supported channels.

The iCal Sync Logs screen records imported calendar events and helps administrators monitor synchronization activity.

Each log entry displays the following information:

• Channel: The booking channel associated with the imported event.
• Room Type: The room type linked to the calendar event.
• Hotel: The hotel associated with the synchronization record.
• Event UID: The unique identifier of the calendar event.
• Event Start and End Dates: The start and end dates recorded for the event.
• Sync Status: Indicates whether the event was Synced or Failed.
• Log Date and Time: Displays when the synchronization record was created.

Administrators can use these records to verify whether channel bookings were imported for the correct room type and quickly identify synchronization failures. The Clear All Logs action allows administrators to clear existing log records when they are no longer needed.
