ERPNext Multi Vendor Marketplace turns a standard ERPNext Webshop into a marketplace where multiple sellers can list and sell their own products. The admin maintains one catalogue and checkout while controlling which sellers and products can go live.

Vendors register through the Become a Seller page and accept the admin's terms. Once approved, each vendor gets a seller dashboard and a seller warehouse, where they can manage products, stock requests, orders, shop details, and payouts.

Every seller product waits for admin review before it appears on the Webshop. Admins can approve or reject products from the Item form, Item list, or product request, and sellers can see the status from their dashboard.

Shoppers can identify sellers through product-page seller cards, public shop pages, the Sellers directory, and seller ratings. Sellers only see their own products, requests, payouts, and lines on Sales Orders.

After checkout, the admin can split a Sales Order into draft Delivery Notes and Sales Invoices for each seller. Commission is calculated per order, and sellers can request payouts for unpaid orders.

Why Do We Need ERPNext Multi Vendor Marketplace?

A standard ERPNext Webshop has one seller, so the store team manages product details, prices, and stock changes. As the business grows, onboarding outside brands and maintaining their catalogue becomes harder.

Without marketplace tools, teams may need to re-enter product information, track seller sales manually, and calculate each vendor's share of a Sales Order in spreadsheets.

Giving every vendor desk access is not suitable when sellers must not see other sellers' products or Sales Order lines. Vendors need their own workspace, while the admin needs to review products before they go live.

ERPNext Multi Vendor Marketplace provides seller dashboards, product approval, seller-specific stock and order views, and commission and payout workflows. This helps keep marketplace operations organized as the number of vendors grows.

    Use Cases

    Local Makers Marketplace

A craft store invites local makers to sell on its Webshop. Each maker lists products and updates stock, while the owner approves every item before it goes live.

    Brand Outlet With Shared Checkout

An electronics retailer lets several brands sell alongside its own products. Customers place one Sales Order, and the team creates a draft Delivery Note for each brand.

    Fashion Seller With Many Sizes

A clothing seller enters Colour: Black, White; Size: S, M, L to create six variants and then sets stock for each variant from the seller dashboard.

    Monthly Vendor Payouts

At month end, each vendor requests a payout for unpaid orders. Finance checks the commission, marks the payment as paid, and adds the bank reference.

    Seller Registration and Approval

The Become a Seller page at /seller-registration lets guests submit their name, email, password, and shop name. Each request is saved as a Marketplace Seller record, which the admin can approve, reject, or suspend.

    • Seller registration form with shop name, phone, and tagline.
    • Terms and Conditions that vendors must accept.
    • Pending, Approved, Rejected, and Suspended statuses.
    • Seller role assignment and optional warehouse creation on approval.
    • Optional automatic approval and email notifications when status changes.

    • Bulk approval and rejection from the Item list.
    • Product approval through a product request.
    • Automatic approval option for trusted stores.

    Seller Warehouses and Stock Requests

Each seller keeps stock in a dedicated warehouse, which can be created when the seller is approved. Sellers submit quantity updates from the dashboard, and approved requests create a Stock Entry to adjust the warehouse quantity.

    • One warehouse per seller, created or assigned by the admin.
    • Warehouse Location / Bin field on each seller record.
    • Quantity Update requests with admin approval.
    • Optional automatic approval of quantity updates.

    Per-Seller Delivery Notes and Invoices

    • One draft Delivery Note per seller.
    • One draft Sales Invoice per seller.

    FAQs

What does ERPNext Multi Vendor Marketplace do?
ERPNext Multi Vendor Marketplace turns the ERPNext Webshop into a marketplace where approved sellers list products and request payouts from their seller dashboard.
Which apps does ERPNext Multi Vendor Marketplace need?
It requires the ERPNext and Webshop apps. Install both first, then configure approvals, commission, and warehouses in Marketplace Settings in the desk.
How does a vendor become a seller?
The vendor fills in the Become a Seller form at /seller-registration. The request stays Pending until the admin approves it, unless automatic approval is enabled.
Can sellers publish products without approval?
Seller products stay off the Webshop until the admin approves them. Enable Auto Approve Seller Products if new products should go live automatically.
What happens when a seller edits an approved product?
The product returns to Pending and is hidden from the Webshop until the admin approves the change. With auto approval enabled, the edit goes live automatically.
How does a seller create product variants?
In the Variants section, the seller enters an expression such as Colour: Red, Blue; Size: S, M. Each combination is previewed and then created in one step.
Where is each seller's stock kept?
Stock is kept in a seller warehouse, which can be created when the seller is approved. Sellers request quantity changes from the dashboard, and approval posts a Stock Entry.
Can one order contain products from several sellers?
Yes. The shopper places one Sales Order. The admin can then create a draft Delivery Note and Sales Invoice for each seller, manually or on submission.
How is the marketplace commission worked out?
A default rate in Marketplace Settings applies to all sellers. A rate on a seller record overrides it, and commission is calculated for each order.
     How do sellers get paid?
A seller requests a payout for unpaid orders. Finance marks the Marketplace Seller Payment as paid with a reference, and the seller receives an email.
Can customers review and rate sellers?
Yes. Signed-in shoppers rate a seller from 1 to 5 stars on the shop page. Reviews are moderated and can be limited to customers who bought from that seller.
Do sellers see other sellers' orders or products?
No. Row-level rules show each seller only their own items, requests, and payouts, plus the lines of a Sales Order that belong to their shop.
